NOTIFICATIONS

In the menu in the upper right corner of  we also have a box . Pressing it allows you to view all the notifications that currently Have been sent to us by the system.

The second way to view all notifications is through the bell icon , also located in the upper right corner. The number in the circle next to the icon tells us the number of new and unread notifications.

After clicking the bell icon, the following overview will be displayed:

You can mark all notifications as read or go to the view of the complete notification list. The view of all notifications looks as follows:

You can manage the list of notifications through the menu. We can sort, filter, and delete them by selecting and pressing the “Delete” button..

Notifications can be deleted collectively by selecting multi-edit or individually.

Clicking on a single notification, whether on the condensed notification (see below) or on the entire list (as shown above), will take us to its view, and from there, we can click on the blue text ‘To go to the record click here.’ . This will redirect us to the relevant place in the system that requires the specified action to be performed.

We will be taken to the appropriate place to which the notification pertains, and which requires the execution of some action (activity).

The system sends various types of notifications, such as:

  • The deadline for PP sample order has expired.
  • The deadline for Shipment sample order has expired.
  • The ordered quantities exceed the planned quantities.
  • The actual EXW date is approaching.
  • We remind you to set PM Booking Approval.
  • Information about changes to the user account made by the administrator.

The type of notifications received by a user from the system also depends on the role they hold.

CREATING DEPUTIES.

To enable the person who will be substituting for us to use the appropriate application modules, they must be connected to our account and the time in which they will be substituting must be set.

To do this, after logging into the system, click on the upper right corner and then select “Deputies” from the menu that appears.

You will then be directed to the Deputies tab.

Click on “New” to create a new deputy.

A view will appear that will allow you to do this.

First, select the user from the list of all system users to whom you want to delegate your permissions by clicking the “Select” button.

Next, select the start and end dates of the substitution in the “Start Date” and “End Date” fields. The date can be selected from the calendar or entered manually.

The system allows you to delegate all roles and permissions by checking the “Delegate All Roles” and “Delegate All Data Access” checkboxes, or by selecting individual roles or permission elements.

Selecting the appropriate role or permission and transferring it to the deputy by clicking the arrow allows you to add permission only for individual activities. In standard system use, this option is less recommended – we strongly recommend using a package of defined permissions for a given role by checking the checkboxes described above.

After transferring the permissions and roles, they should appear on the left-hand side.

Finally, confirm your choice by clicking “Add.”

You will then be taken back to the initial tab, where your deputy will be visible.

Permissions can be delegated for one or many people.

Also, remember that all changes made in the system during our absence are saved and visible in the history of changes, accessible by clicking the “History”  icon .

LEFT-SIDE MENU ITEMS.

The system consists of multiple modules. Depending on our permissions, we can see all or selected items. For example, merchants and assistants cannot see the Budget Planner module.

On the left side, after clicking the icon, a menu with modules visible for our role appears.

Products – general actions on products. Assign Products to Season – associating products with specific seasons they belong to. They have similar icons because they relate to the product.

Products in Seasons View – a view that allows us to see all features and data that have been completed on Products and Products in Season. Season Plan – a view where we can collectively complete data on Products in Season.

Brandings Details – the module allows quickly editing, changing, and removing branding elements on Products.

Budgeting Planner – here we see and can edit quantity and value plans. It is a very important place where PMs will be able to review and complete their plans regarding the quantity of ordered products. To add products to the order, PMs must first enter the quantities they want to order in the Budget Planner. Before adding products to the order, PMs will always have to define the correct quantities here first.

Orders – a view that will consist of three levels.

Products in Orders View – here we will see all products that are currently in orders. They will appear in the form of a list. We will be able to browse them and compare certain characteristics of order details. Suppliers – here we define supplier records and complete their basic data, including bank or contact information.

Seasons – used to define individual seasons and data within the season, such as sub-seasons, lines. We have several dictionaries here, the most important of which is CBM costs. In this dictionary, we define all the necessary data to calculate margins. To calculate margins, we also consider INCOTERMS conditions with ports and container rates.

Categories – we can create a three-level tree with product categories here. We can assign dynamic attributes, i.e., constant fields that will be available on products in selected categories, and define general branding rules.

EAN Ranges – a module where a pool of EANs available for defining on products is defined. This module is managed only by the system administrator. For better product description and management, a dictionary module is defined precisely. The dictionaries contained there help to complete features and additional values on products, budget planners, orders, and we have additional dictionaries that do not fit into any of these categories but are nonetheless useful.

DICTIONARY MODULE

This module is closely related to the life of the product. The dictionaries it contains help you complete the features and additional values in the Product cards, Budget Planner and Orders. With the values defined here, we will use a list when filling in the fields, rather than entering the data manually. This will make it faster and more accurate to complete the data in the places mentioned above.

In addition, the dictionaries often define values that are necessary for the correct calculation of margins and other costs (e.g., delivery costs). This is an important place in the calculation of operational data like margin. Therefore, organizations often assign access to edit dictionaries to one selected person.

VOCABULARIES NECESSARY FOR PROPER BRANDING MANAGEMENT.

In the “Product in Season Branding” category, we have the following dictionaries:

  • Branding,
  • Brandings Detail
  • Key Visual
  • WCL Statuses

Dictionaries are defined individually by the customer.

Brandings – all types of branding elements that may occur are entered here.

Brandings Detail – After entering, we see a list of features. We can individually define a feature. By double-clicking on a line, you switch to the tab of the selected feature, such as:

After clicking Edit, We can make changes or additions to the data in the tab. We can link it to the selected Key Visual-em, then in the Product Branding option the product features will be narrowed down according to the given Key Visual. We can also add the necessary .indd or pdf graphic file in the place of Attachment.

Key Visual – here we can define basic groups of key branding designs.

DICTIONARY OF MATERIALS/INGREDIENTS

Depending on the type of product, we will either need the MATERIALS dictionary (which lists the materials the product is made of) or the INGREDIENTS dictionary (which contains the chemical composition).

On the product page, under the ‘Attribute’ tab, there is a checkbox labeled ‘Cosmetics’ .

Upon selecting this checkbox, the list switches to display the ingredients for the chemical composition, used for products such as food or chemicals.”

Categories

Introduction :

By using the Category dictionary, you can define a multi-level product classification structure.
At each level of the Category, it is possible to define attributes – fields that the user will fulfill when a given category is assigned to a product.
The defined attributes will enable the detailed description of the product with its features.

To insert a Category or a Subcategory:

Go to Menu    and then    .

In the new tab click    and fulfill the form. Field Name is required to be fulfilled with the Category name. For example „Shoes”.  You can add “S” symbol with this Category. Now in the tab, click   . In the Category tab, you can see “Shoes” has been successfully added.

To add a Subcategory:

Click the Category you want to add a Subcategory in, then click again   .

For example, name your subcategory Men’s shoes. As the symbol use “MS”.

No you can see, field „Category Parent” has been fulfilled automatically.

Now you can see “Men’s shoes” subcategory under “Shoes” subcategory, in the Categories tab.

Now try to add 2 subcategories: Women’s Shoes” and „Children’s Shoes” under main Category “Shoes”.
Following the steps above, click the Category you want to add Subcategory in, and then click   . Fulfill „Name” with“Women’s Shoes” and field “symbol” with „WM” and click   .  Follow exact same steps for „Children’s Shoes” subcategory.

Product subcategory can have their own subcategories as well.
To add subcategory to “Women’s Shoes“, „Heels” subcategory, in Categories tab, choose subcategory „Women’s Shoes” and click   .
Fulfill „name” with “Heels” and symbol field with „H” and click   .

Now, you can see “Hells” subcategory under “Women’s Shoes” subcategory, in the Categories tab.

You can create as many main categories/subcategories as you want.

To delete a Category or a Subcategory:

Go to Menu    and then    .

From Categories tree, choose a category/subcategory you want to delete, and click   .

Category Attributes is an important and useful feature.

It allows to add any number of fields, defining what features the Category has.

Let’s assume, main category is for example “Furnitures” and its subcategory is “Sofas”

Products in this Category (for example “Sofas”) should contain additional information, for example: What are the colors? What material are they made of?

To do it, choose from the tree category, subcategory you want to assign additional features and click

In the opened tab, choose “Atributes” and click “New”.

In the tab „New Category Attribute” there are two fields „Type” and „Name”

There are following Field Types:

  • Text – It is the most popular type. In text field, you can assign any product attributes in any category. For example, brand, line, material, shape etc.
  • CheckBox – Field to check. For example, there are watches with and without batteries in stock, you choose with the checkbox, the one you want.
  • Color Picker – User will be able to choose any color for any product. For example, there are T-shirts in stock and you want to add a color field, so you will be able to choose any color for the product in the easiest way.
  • Date  –  User will have an access to the calendar to choose a date. For example, there is food in stock and you want to have an expiration date for the product.
  • Intiger – Quantity. For example there are crayons in stock, with different quantity. For every box you want to have a field with quantity of crayons.
  • Currency – This is a floating point number, with currency choice, for example 3.45 USD. A client sells products in different counties so the price for each market should be defined.
  • Decimal – Decimal value to define base unit, for example “kg”. Having different stocks, you will be able to put weight for each product. For example, you sell dog food with different weights. With this field it will be possible to define how much a product weights.
  • Decimal with Unit – Floating point number with unit additionally defined. For example, there are bowls in the stock with different depths. With this field you will be able to define depth for each product with litres and millilitres.
  • Dictionary – After defining this field, user will be able to choose values from the defined list. You can read more about Dictionary field in “Dictionary” document.

Choose  “Text” and name “Material” then, click  “Add”.

You can see, after adding new product to our subcategory “Pots”, in the tab with basic attributes, additional fields are being shown. In this case “Material”.

An example of adding different field type.

For example, in the Electronics stock, there are watches. For these products we want to put a field with checkbox, knowing if the watch has a battery or not.

From the tree Category, choose “Watches” and click  “Details” .

In the opened tab, in  Attributes, choose  “New”.

In the opened tab, field Type choose as Checkbox, and field Name name Batteries.

You can see, after adding a product in “Watches” Category, field “Batteries” is possible to be checked.

While fulfilling fields for the new product, one of the first activities is to choose Category for our product.

After choosing adequate Category, in the field „Category symbol”, full symbol name is automatically created, based on the Symbols entered before in adequate Categories.

An example:
Creating main Category „Furniture”, put for example „F”.

As a subcategory for „Furniture”, put „Beds”. As a symbol of this subcategory put „B

Let’s assume, there are many types of beds in subcategory “Beds”. Put another subcategory for “Beds”, for example “Storage Beds”. As a symbol use “S”.

Alright. Now you want to add your product, which will be visible in „Storage Beds”.
From menu, choose    and click   .

After choosing adequate Category, you can see „Category symbol” has been fulfilled automatically.

Now you can see, how the name for a field has been created.

Data Import:

Do przetlumaczenia

Importing a Category:

We can import any category tree from Excel.
An example file with categories looks like this:

In the first row, a user can describe the columns as a user wants. However, you have to remember that for the tree import to be successful, the layout must be kept from the second row, as in the example file. So first the main category, then its symbol, then its subcategory, then its symbol, Next subcategory, its symbol, etc.
To import a category tree from a document, go to “Menu”,”Integrations” and “Data Import”.

Then select Categories from the import forms. Then using the button , choose our document.

After importing, our category tree will be supplemented with categories and symbols entered in the document.

Importing a product:

We can import from exel doc., products and information about them.

In the first row, a user can describe the columns as a user wants but with the exact order of the fields as presented in the example file.

In order to correctly import the Product List, the following fields cannot be empty:

Supplier Code – Supplier with the following code must exist in the database:

Pole „Photo” nie może pozostać puste.

Category – The category entered in the document must exist in the database.

An exemplary excel file for import with the minimum required amount of data looks like this:

After filling in all the fields with information about the product, the program will import the data to both the Product Info and Product Attributes tabs.

To import a Product List from a document, go to “Menu” , “Integrations” and “Data Import”  . Select Products from the import forms. Then using the button , choose our document.

Przygotowanie pliku do Importu w Budgeting Plannerze:

Następne kolumny to:

Quantity SEZON+SALE”  Czyli – ilość sprzedaży w poprzednim sezonie.

Net Price” – Pojedyncza cena netto

Price” – Cena zakupu dla produktów sprzedawanych do sklepu.

Value of Orders by Sell Price” – Wartość zamówień w cenie sprzedaży (netto) dla produktów sprzedawanych do sklepu.

Planned Participation (%)” – Procentowy udział sprzedaży poszczególnych kategorii asortymentu, dla produktów sprzedawanych do sklepu.

Value of Orders by Purchase Price” – Wartość zamówień w cenie zakupu (netto), dla produktów sprzedawanych do sklepu.

Margin IP (%)” – Marża dla produktów sprzedawanych do sklepu.

Participation (%) – Online” – Procentowy udział sprzedaży poszczególnych kategorii asortymentu dla produktów sprzedawanych poprzez strony online.

Price – Online”  – Cena zakupu dla produktów sprzedawanych poprzez strony online.

Sales Value – Online”   – Wartość sprzedaży online.

Value of Orders by Sell Price – Online” – Wartość zamówień w cenie sprzedaży (netto) dla produktów sprzedawanych poprzez strony online.

Margin (%) – Online” – Marża dla produktów sprzedawanych poprzez strony online.

Value of Orders by Purchase Price – Online” – Wartość zamówień w cenie zakupu (netto) dla produktów sprzedawanych poprzez strony online.

Quantity – Online” – ilości produktów online.

Quantity – Total” – ilość ostateczna.

Value of Orders by Sell Price – Total” – Wartość zamówienia w cenie sprzedaży

Value of Orders by Purchase Price – Total” – Ostateczna wartość zamówień w cenie zakupu.

Dodajmy do naszego planu np.  sub-kategorie o nazwie „Coffe tables”,  a do niej przypiszmy nasz asortyment.

“Budgeting Planner”.

Product in Season

W zakładce “Product”, zakładamy sobie produkt globalnie i jest on w naszej bazie.

Teraz podejmujemy decyzje, że produkt ten wejdzie do naszego sezonu rozliczeniowego, więc musimy go dodać w zakładce „Product in Season” na karcie „Product”.

Klikamy na przycisk i otwiera nam się karta „New Product in Season”.

W pierwszej zakładce „Info/Approval”, w pierwszej kolejności, wybieramy do jakiego sezonu wejdzie nasz produkt.

Robimy to w polu „Season”, w następnym polu określamy do jakiego sub-seasonu, w wybranym sezonie będzie wchodził nasz produkt.

Category, Capacity/Dimension, Colors, PM, Default EAN, Preferred Supplier, Initial Price, Net Price, Margin (%), Materials, Key Visual.

Confirmed – towar zatwierdzony

Ordered – zamówiony

In Production – towar jest podczas produkcji

W polu „Url Product” – możemy wkleić adres www do danego towaru dostawcy

W polu „Origin Country” – wybieramy kraj pochodzenia dostawcy.

Jeżeli w zakładce Info/Approval, zaznaczyliśmy pole “Color Box“, możemy przejśc do zakładki “Color Boxes“.

W kolejnym polu “Kind Of Package” definiujemy rodzaj opakowania extra.

W polu “Remarks” możemy wpisać osobny komentarz w sprawie próbki i wybrać datę tego komentarza.

W kolejnym polu możemy ustawić datę zminu statusu dotyczącego próbki. Mamy do wybory 4 możliwości:

Np. EAN sticker, czyli nalepka z kodem kreskowym i opisem.  Albo WCL – czyli wszelkiego rodzaju wszywki.

Drugi poziom czyli „Branding Details” – jest to konkretny wzór wybranego dodatku.

W sekcji “Protections and Maintenance” – możemy wybrać dodatkowe informacje dotyczące produktu, związane z bezpieczeństwem lub konserwacją.

Prawidłowe przygotowanie pliku do importu w Budgeting Planerze opisujemy szerzej w artykule pt.

„Przygotowanie pliku do Importu w Budgeting Plannerze”

Pierwsza z nich to Lupa , dzięki której w szybki sposób możemy znaleźć konkretne dane.

Następna ikonka to odświeżenie strony  .

Następna ikona to ołówek .

Następna ikonka to Filtr .
